Ph.D Helpful Tips

Some useful information is provided for current students (last updated July 07, 2026). Please note that some of the rules are subject to change. Please check with our Department Officer or refer to the Academic Home Page for the latest updates and information.

Course Registration

  • Immediately after joining, a PhD student should meet their Faculty Advisor.
  • Register on the specific dates announced by the Academic Section through the online registration system.
  • Failure to register for two consecutive regular semesters leads to the automatic cancellation of admission.
  • Course adjustment is permitted within the first two weeks from the start of instruction.
  • The following Institute courses are mandatory and must be completed: Communication Skills, Gender in the Workplace, Teaching Assistant Skill Enhancement and Training, etc.
  • A student becomes eligible for confirmation only after:
    (i) Completing all prescribed coursework.
    (ii) Achieving the required CPI.
    (iii) Clearing the departmental qualifier.

Annual Progress Seminar

  • Each year, a PhD student must submit an Annual Progress Report (APR) and deliver an Annual Progress Seminar (APS) before the Research Progress Committee (RPC).
  • If the APS is delayed beyond the approved schedule, a late fine of Rs. 750 per week shall be charged.
  • After the seminar, the online evaluation report must be prepared on ASC within 4 working days.
  • After completing 6 years (PhD) or 7 years (Master's + PhD), a student is required to present the APS every six months.
  • A student's registration is liable to be cancelled for:
    (i) Two consecutive poor performance evaluations.
    (ii) Failure to present the APS.

PMRF program

  • PMRF fellows receive a monthly stipend of Rs. 70,000 and an annual contingency grant of Rs. 2 lakh. To be considered for the PMRF, candidates must first be admitted to our regular Ph.D. programme. The Institute then nominates outstanding candidates with excellent academic records and strong research potential. The final selection is made by a discipline-specific Selection Committee. Recipients must adhere to the PMRF regulations, and the continuation of the fellowship is subject to satisfactory annual reviews of their research performance.

Teaching Assistance duty for courses

  • Every semester, students are assigned responsibilities to assist in teaching and other academic activities. These responsibilities include assisting with selected courses, administrative tasks, leading laboratory or discussion sessions, grading assignments and examinations, holding office hours to assist students, classroom management, and material preparation.

Attending conference

  • IT Bombay provides two types of support to eligible Ph.D. scholars: Financial Assistance and Refundable Advance. Financial Assistance is granted under the approved funding norms based on the conference location and the scholar's category. A Refundable Advance is provided against a sanction letter from an external funding agency to cover pre-conference expenses. Applications require prior approval from the Faculty Supervisor, the HoD, and the Dean (A.P.). The grant covers travel, registration, accommodation, and related expenses, subject to the Institute's rules. After the conference, scholars must submit a participation report and settle all financial claims within the prescribed timelines.

AI policy and plagarism 

 

Pre-Synopsis

  • A student is eligible for the Pre-Synopsis Seminar only after clearing all the academic and research requirements, and provided there is no pending Annual Progress Seminar (APS).
  • The seminar is conducted before the Research Progress Committee (RPC) and is an open seminar.
  • After the successful completion of the Pre-Synopsis Seminar, the student may submit the synopsis.
  • Documents associated with the Pre-Synopsis stage:
    (i) Pre-Synopsis Seminar Request.
    (ii) RPC Recommendation.
    (iii) Synopsis.
    (iv) Panel of External Examiners.
    (v) Supervisor's Recommendation.
    (vi) Departmental Forwarding.

Thesis Submission

  • Minimum Research Period before Thesis Submission:
    (i) 2 years – PhD students.
    (ii) 3 years – External students.
  • The synopsis and thesis must be submitted together within 4 months of the date of the Pre-Synopsis Seminar.
  • If the synopsis and thesis are not submitted within 4 months:
    (i) The student must present the Pre-Synopsis Seminar again.
    (ii) A maximum of two repeat Pre-Synopsis Seminars is permitted.
    (iii) Failure to comply may lead to the cancellation of the PhD registration.
    (iv) A late fine of Rs. 750 per week is imposed until the repeat Pre-Synopsis Seminar is held.
  • Both the synopsis and the thesis must be prepared in the approved IIT Bombay format. (Formatting guidelines are available on the Academic Office homepage.)
  • Documents to be submitted:
    (i) Electronic Transfer Data (ETD) to the Central Library along with the final submission.
    (ii) No Dues Certificate from the Accounts Section and the Hostel Coordination Unit (HCU).

Defence

  • The defence is scheduled after:
    (i) Both external examiners have submitted their review reports.
    (ii) The reports are found to be acceptable.
    (iii) The Chairman, Senate (or the authorised authority), approves the conduct of the viva.
    (iv) The Board of Examiners is constituted.
  • The defence is open to the Institute community.
  • After the completion of the defence, the Board of Examiners prepares the official viva report.
  • After a successful defence, the student must incorporate all the changes suggested by the examiners. Only then is the thesis treated as final.
  • The final corrected thesis must be submitted to the Library in the prescribed electronic format.
  • The PhD degree is awarded only after:
    (i) Successful Thesis Defence.
    (ii) Completion of all corrections.
    (iii) Submission of the final thesis.
    (iv) Clearance of all Institute formalities.
    (v) Approval by the Senate.

No Dues

  • The No Dues process generally begins:
    (i) After the successful completion of the defence.
    (ii) Before the final processing of the PhD degree.
    (iii) Before relieving the student from the Institute.
    (iv) No Dues Certificates from the Accounts Section and the Hostel Coordination Unit (HCU) are required at the time of thesis submission.
  • Before the No Dues process is completed, the Institute verifies that:
    (i) The final corrected thesis has been submitted.
    (ii) An electronic copy has been deposited.
    (iii) All required corrections have been incorporated and certified.
  • Documents required during the final processing:
    (i) Thesis Submission Form.
    (ii) Supervisor's Certification.
    (iii) Course Completion Certificate.
    (iv) Pre-Synopsis Completion Certificate.
    (v) Viva Report.
    (vi) Accounts No Dues Certificate.
    (vii) Hostel No Dues Certificate.
    (viii) Final Thesis.
    (ix) Electronic Thesis.
    (x) Student Declaration.
